Mosaic – Newcomer Family Resource Network is a rights-based organization that provides newcomer parents and primary caregivers with opportunities to develop additional language and parenting skills. THE OPPORTUNITY:

The Operations Co-ordinator works closely with the Executive Director, taking on the supervision of day-to-day organizational operations including human resources, administration, physical sites, and information technology. The Operations Co-ordinator is a highly skilled professional, dedicated to supporting the work of Mosaic by ensuring the smooth running of our critical systems. The Operations Co-ordinator is a support and assistant to the Executive Director. The Operations Co-ordinator has a general awareness of all organizational activities and is focussed on working collaboratively to achieve Mosaic’s strategic priorities.

KEY RESPONSIBILITIES:

  • Lead the operational aspects of the organization in alignment with the vision, mission and strategic priorities.
  • Provide leadership to a small team; provide support, feedback, coaching and performance management.
  • Work in collaboration with the ED and the board to support governance and accountability.
  • Oversee Mosaic’s HR department ensuring compliance and assisting in day to day employee relations.
  • Support supervisors and program directors with HR challenges
  • Oversee and implement appropriate systems, protocols and policies and procedures to ensure compliance and security.
  • Respond to urgent issues related to IT.
  • Develop and manage security protocols for the agency including for, external and internal databases and document management through cloud-based systems.
  • Take overall responsibility for internal database maintenance, reporting, and staff training for overall smooth running of Mosaic’s administrative systems.
  • Set up and manage security protocols for agency databases (iCARE, LMS, Payworks)
  • Ensure the smooth running of the Mosaic main office and all off site program spaces.
  • Identify resources for and manage all leasehold improvement projects, as well as contract/funding negotiations.
  • Manage maintenance of office equipment, leases, security and service contracts and systems
  • Co-ordinate with Finance department and Office Co-ordinator to ensure completion of accurate and comprehensive annual inventory check.
  • Ensure compliance and adherence to MB Accessibility Act, The Workplace Safety and Health Regulation and PIPED Act.
  • Review all insurance policies for all Mosaic Locations, secure and store certificate, manage any insurance claims
  • Main point of contact for emergency and alarm services, and for Mosaic landlords, location hosts, and partners.
  • Supervise HR, and Admin team and meet with them regularly and annually for self-reviews.
  • Hire, orient, and train staff as needed.

SELECTION CRITERIA:

  • Minimum of 5-7 years in a high integrity leadership role, preferably, but not necessarily in a non-profit setting.
  • Post-secondary education in a related field or a combination of education and work experience in HR, business administration, or other high level management or office administration experience.
  • Human resource management experience and strong working knowledge of Manitoba Employment Standards and the Manitoba Human Rights act.
  • 2 or more years system administration experience required
  • Proficiency with Payworks or other similar HRIS at the site administrator level
  • Knowledge and background in Workplace Health and Safety and WCB reporting.
  • Ability to diagnose and resolve diverse technical issues (both hardware and software).
  • Proficient working knowledge of MS365 at the administrator level.
  • Comfortable working with contracted network support relating to issues requiring escalation.
  • Knowledge of internet security and data privacy principles.
  • Excellent written and verbal English communication skills, knowledge of a language other than English is an asset, ability to problem solve, think critically, plan, design and deliver employee training.
  • Excellent interpersonal skills including the ability to develop strong relationships with coworkers in an EDI work environment.
  • A history of successful grant writing experience an asset.
  • Solid organizational abilities, including planning, delegating, follow through and task facilitation.
  • Strong financial management skills, including budget preparation and management, analysis, decision making and reporting.
  • Commitment to upholding the principles of equity, diversity and inclusion, knowledge of the Calls to Action from the TRC and the final report on MMIWG and how they relate to serving the newcomer community.
  • Ability to work actively and cooperatively in a non-profit organization.
  • Ability to work flexible hours in various situations.

DETAILS:

This is a Co-ordinator level 4 position with a competitive salary of $35.59 per hour for the first 6 months and full group benefits package after successful probation.

Working hours are Monday to Friday, 37.5 hours per week at our main office, 397 Carlton Street. Occasional travel to program sites may be required. Ability to work flexible hours when required.
