Job Posting: Language Instruction for Newcomers to Canada LINC-CNC Program Assistant

Job Overview

The LINC-CNC Program Assistant is responsible for assisting the LINC Co-ordinator to manage the day-to-day operations of ESL classes and our childcare programs in several community locations. This position involves data entry, registration and waitlist management, and various administrative tasks. The LINC-CNC Program Assistant provides settlement support in a culturally sensitive way, upholding trauma informed principles.

The LINC-CNC Program Assistant is skilled in building rapport with newcomer students and with our community partners.

Program Maintenance and Student Support:

  • Register all new students, complete all required forms and gather all required information, complying with Mosaic’s confidentiality policy
  • Maintain Mosaic’s student waitlist – provide information and follow up for all waitlisted clients
  • Provide a comprehensive orientation for new students and for parents who are leaving their children in our care. 
  • Monitor student attendance, follow up on student absences and leaves of absence, ensuring adherence to agency policy
  • Provide student support letters for EIA, daycare subsidy, Child Tax Benefit, Citizenship, and others as required
  • Provide basic settlement support and referrals to appropriate settlement services using a trauma informed approach, follow up to ensure student needs are met

Administrative Duties:

  • Maintain iCARE / LMS (Learner Management System) database information, inputting data and meeting monthly reporting deadline
  • General reception, including first point of contact for visitors at community locations
  • Reply to phone calls from students
  • Manage entrances and exits, adhering to all building safety requirements
  • Organize site meetings for childcare staff and teachers
  • Assist teachers with computer and classroom equipment as needed
  • Participate in weekly team meetings
  • Organize monthly fire drills
  • Maintain confidentiality of all the information, following all Protected B document handling procedures
  • Liaise with our community partners, including custodians and reception staff at community locations to ensure the smooth running of Mosaic programs
  • Liaise with the community site hosts as needed and ensure Mosaic staff are informed of building safety and other building updates
  • Maintain up to date client resources, including programs and services available from other sector organizations
  • Represent Mosaic at sector networking meetings, NOWNIR and others
  • Represent Mosaic at sector organised information fairs as required
  • Other duties as assigned

Qualifications:

  • Administrative experience, and/ or formal education in a related field such as social work, administrative support, educational assistance
  • Strong interpersonal and organizational skills
  • Strong attention to detail
  • Strong cultural competence and sensitivity to and understanding of the needs of newcomers
  • Exceptional written and oral communication skills in English,
  • Knowledge of a language other than English
  • Proficient with Microsoft Office 365, especially Excel and Outlook, experience using a database
  • Current knowledge of community resources and systems navigation skills using a trauma informed approach
  • Demonstrated ability to work effectively with minimal supervision
  • Willingness to work as a team player with collaborative decision-making processes
  • Ability to work cooperatively in a non-profit and volunteer-based organization

Other qualifications considered assets:

  • Valid Driver’s license and access to a reliable vehicle to travel within the city
  • Experience working with newcomers in an ESL setting
  • Formal training in translation and interpretation
  • Experience using a database

Position Details:

  • Job type: Permanent with two unpaid breaks during the year
  • Winter break: Approximately two weeks
  • Summer break: Approximately two months       
  • Job schedule: 30 hours a week, Monday to Friday, 9 am to 3:30 pm
  • Job location: 397 Carlton Street (main office), 1771 Pembina Highway (Fort Garry) and possibly Mosaic’s other sites
  • Hourly rate: $23.30 (probation rate)
  • Start date: August 11, 2025
  • This position is eligible for group extended benefits including health and dental coverage, employee assistance program and optional RRSP matching program after successful completion of a probation period (6 months)
